August 3, 2013 EVMA Membership meeting minutes

Meeting News:

EVMA needs to clear up its 501c status as a not for profit organization, this may require paying for legal counsel.
Getting this issue cleared up will require taking care of back taxes, determining and maintaining assets.
Once 501c status is cleared up we will be able to do things like accept donations officially and obtain a liquor license for events like Dirtfest.  Beer sales will help offset the cost of hosting this event. Todd has contacted the Virginia Department of Agriculture for additional information. PBA and WAB have gone through this process recently.
We are interested in hearing from members who are familiar with 501c status and the process of regaining good standing.

Clair is stepping down from the role as EVMA president.  Todd Smith is stepping up to take his place in the interim.
Volunteers are sought to replace the president.

There will be no membership meeting in September due to the Labor Day holiday, DirtFest and the Douthat camping trip.

Membership update:

19 new or renewing members since membership drive started on July first.
Good turnout of EVMA support for membership drive held at Freedom Park on July 27th. Additional membership drive days will be scheduled, please come out to ride and show your support for EVMA.

We are encouraging members to join online to capture demographic information and improve ability to communicate via email.  PayPal page allows members to join or renew using a credit card and a PayPal account is not required.

Please encourage fellow trail riders to join EVMA.  Contact a board member if you would like some flyers to share.

Trails update:

Freedom trails D and E are still closed due to the paving project.
When D and E are re-opened there will be trail maintenance that is necessary.  Watch FaceBook, and Freedom Park’s website for updates.

The current project at Freedom Park is work on the muddy spot in front of bridge 3 on Trail A. A local boy scout wants to assist with this project to earn his Eagle Badge.

The next formal trail work day will be held on September 28, 2013, National Public Lands Day at York River State Park.  This will be continued work on the John Blair trail there are 6 miles of trail to complete. Kirk has created an event on FaceBook, trail work starts at 9:00 am, meet at the maintenance area for work on a one mile section of trail.  Lunch will be provided.

As parks print up trail maps EVMA will have a tagline to the effect of: “Trails built and maintained by Eastern Virginia Mountain Bike Association, go to for more information.”

Events update:

- DirtFest on September 15, 2013!
Join us at Freedom Park for a celebration of riding bikes on dirt!
BMX demos by a pro BMX team, group rides at assorted paces, as well as kids races.

Please consider donating to DirtFest to help offset the cost of putting this event on.  Sponsorships are also still being sought.  If a donation or sponsorship is not your thing, how about a fundraiser?  Contact the board if you have ideas you’d like to share.  Approximately $1000 is needed to cover the rest of anticipated costs for DirtFest.

The Annual Fall trip to Douthat State Park is the weekend of September 20 – 22. Current EVMA members are eligible to go on this trip. Please renew your membership if you are interested in attending. Email Todd Smith at for details and to reserve your spot.

The Tidewater Challenge Mountain Bike race is scheduled for October 26 and 27th
